ICV Certification Documents Checklist UAE
The documents and data UAE companies prepare for ICV certification: audited accounts, supplier licences and certificates, WPS payroll, assets and exports.
Most ICV certifications that run late are not delayed by the calculation. They are delayed by missing evidence: a supplier certificate that expired last month, payroll that cannot be matched to WPS, or an asset register that does not agree with the audited accounts. Preparing the following items before the certifier starts saves weeks.
1. Company documents
Trade licence and, for goods manufacturers, the industrial licence
Memorandum of Association and ownership details, including any parent or holding company
Audited financial statements for the year being certified, with the audit report and its issue date
2. Procurement and supplier evidence
A purchase register for the year, by supplier, with the net amount spent
Each significant supplier's trade licence, showing whether it is mainland, free zone or outside the UAE, and its Emirate
Each supplier's valid ICV certificate, where it has one
A reconciliation from total costs in the financial statements to the third-party spend reported, with excluded items (salaries, depreciation, fines, taxes, charity, related-party management fees) listed separately
3. Workforce
Headcount of Emirati and expatriate employees, with salaries and benefits for the year
WPS salary records — salaries not paid through WPS are generally not accepted
Training costs for Emirati and expatriate staff and any qualifying Emirati donations
4. Investment
The fixed asset register with net book value at year end, showing which assets are located in the UAE and which abroad
The previous year's UAE net book value, for the investment growth bonus
Assets owned by related parties or otherwise excluded, identified separately
5. Revenue and exports
Revenue split between UAE sales, re-exports and value-added exports
For exports: certificates of origin and evidence of payment from abroad
6. Sustainability
For goods manufacturers: the ITTI assessment and ISO certificates
For service providers: sustainability policies and ISO certificates
Keeping it ready all year
The easiest way to pass ICV certification is to keep the evidence in the same system as the books. In RQM Books ICV, supplier licences and ICV certificates are uploaded on each supplier and read automatically, expiry dates trigger alerts, payroll carries the WPS flag and the asset register records each asset's location. The ICV file lists every evidence gap before you invite the certifier, and the Company Vault keeps your own licences, MOA and ISO certificates in one place.
