RQM Books Software Terms of Service
Last Updated: September 8, 2026
These Terms govern access to the RQM Books website, cloud accounting platform, mobile applications, support services, and related features.
By creating an account, accepting an order form, or using the Services, the customer agrees to these Terms. If you use RQM Books for an organization, you confirm that you are authorized to bind that organization.
1. Service provider and scope
RQM Books is operated by Digital Innovative Agency FZ-LLC, a Free Zone Limited Liability Company registered with Ras Al Khaimah Economic Zone (RAKEZ) under licence number 17002246. Its registered address is FOB51716, Compass Building, Al Shohada Road, Al Hamra Industrial Zone-FZ, Ras Al Khaimah, United Arab Emirates.
The Services include the modules, storage, support, integrations, and subscription features made available under the selected plan.
2. Eligibility and account administration
- Users must provide accurate registration, billing, tax, and contact information.
- The customer is responsible for choosing authorized administrators and reviewing user access regularly.
- Credentials must not be shared. Suspected compromise must be reported promptly.
- A customer is responsible for activity performed through its accounts except to the extent caused by RQM Books.
3. Licence and permitted use
Subject to payment and compliance with these Terms, RQM Books grants the customer a limited, non-exclusive, non-transferable right to use the Services for its internal lawful business operations during the subscription term.
Customers must not:
- Use the Services for fraud, unlawful activity, sanctions evasion, or infringement of third-party rights.
- Probe, scan, bypass, disable, or interfere with security or access controls.
- Reverse engineer or copy the Services except where applicable law expressly permits it.
- Upload malicious code or use automated traffic that materially degrades the Services.
- Resell or provide the Services to third parties unless agreed in writing.
4. Customer data and accounting responsibility
The customer retains ownership of data submitted to the Services and grants RQM Books the limited rights needed to host, process, back up, transmit, and support that data.
RQM Books provides software tools and does not replace the customer’s accountant, tax agent, auditor, lawyer, or management judgement.
The customer is responsible for source documents, classifications, opening balances, tax treatment, filing decisions, approvals, reconciliations, and the accuracy of reports generated from customer data.
5. Subscriptions, fees, VAT, renewal, and cancellation
- Fees, billing frequency, included usage, and the subscription term are stated in the selected plan or order form.
- Fees are exclusive of VAT and other applicable taxes unless expressly stated otherwise.
- Subscriptions may renew automatically only where this is disclosed at purchase and permitted by applicable law.
- Plan changes, cancellation, credits, and refunds are governed by the Subscription and Cancellation Policy and any mandatory UAE law.
- Non-payment may result in restricted access or suspension after reasonable notice, except where immediate action is required to prevent abuse or security risk.
6. Availability, maintenance, support, and changes
RQM Books aims to provide a reliable service but does not promise uninterrupted or error-free availability unless a separate service-level agreement states otherwise.
Planned maintenance, emergency maintenance, internet failures, cloud-provider events, and circumstances beyond reasonable control may affect availability.
Features may be improved, replaced, or discontinued. Material reductions to core paid functionality will be communicated where reasonably practicable.
7. Security and incident cooperation
RQM Books maintains administrative and technical safeguards appropriate to the nature of the Services. Customers must configure roles, permissions, devices, exports, and integrations responsibly.
Each party will reasonably cooperate in investigating a confirmed security incident affecting customer data and will preserve relevant evidence where lawful.
8. Third-party services and integrations
Optional integrations, payment processors, banks, cloud services, or external applications may be governed by separate third-party terms. RQM Books is not responsible for third-party services outside its control.
The customer authorizes data exchange with an integration when the customer enables that integration.
9. Data export, retention, and account closure
Customers should export required accounting and tax records before account closure. Export formats and availability depend on the subscribed modules.
Following termination, data may be retained for a limited operational, backup, dispute, fraud-prevention, or legal period and then deleted or anonymized, subject to applicable law, the Privacy Policy, and the Data Backup, Retention & Recovery Policy.
Suspension or termination does not remove the customer’s statutory record-retention obligations.
10. Intellectual property and feedback
RQM Books and its licensors retain all rights in the software, designs, documentation, trademarks, and service technology. Customer data remains the customer’s property.
If a customer provides product feedback, RQM Books may use it without restriction provided it does not disclose customer confidential information.
11. Confidentiality
Each party will protect the other party’s non-public business, technical, and financial information using reasonable care and will use it only for the relationship.
Confidentiality does not apply to information lawfully public, independently developed, already known without restriction, or properly received from another source.
12. Electronic records and notices
The parties agree that electronic acceptance, notices, invoices, records, and signatures may be used to the extent permitted by Federal Decree-Law No. 46 of 2021 concerning Electronic Transactions and Trust Services.
Service notices may be sent to the account email, displayed in the platform, or published on the website where appropriate.
13. Disclaimers
Except for express commitments in these Terms, the Services are provided on an as-available basis to the maximum extent permitted by law.
RQM Books does not guarantee that a report, tax calculation, forecast, artificial-intelligence output, or integration result is complete or suitable for a customer’s specific legal, tax, audit, or business decision. Material outputs should be independently reviewed.
14. Limitation of liability
Nothing in these Terms excludes liability that cannot lawfully be excluded, including liability arising from fraud or wilful misconduct.
To the maximum extent permitted by law, neither party is liable for indirect, incidental, special, or consequential loss. RQM Books’ aggregate liability arising from the Services will not exceed the fees paid for the affected Services during the twelve months before the event giving rise to the claim, unless an order form states otherwise.
15. Suspension and termination
RQM Books may suspend access where reasonably necessary to address non-payment, unlawful use, a credible security threat, or a material breach. Where appropriate, notice and an opportunity to cure will be provided.
Either party may terminate as provided in the plan or order form. Provisions intended to survive termination, including payment, confidentiality, intellectual property, liability, and dispute provisions, will survive.
16. Changes to these Terms
Updated Terms will show a revised date. Material changes will be communicated reasonably in advance where practicable. Continued use after the effective date constitutes acceptance, subject to mandatory law.
17. Governing law and disputes
These Terms are governed by the federal laws of the United Arab Emirates and the laws applicable in the Emirate of Ras Al Khaimah, without prejudice to mandatory consumer rights.
The competent courts of Ras Al Khaimah, United Arab Emirates, have jurisdiction unless mandatory law or the applicable order form validly provides another forum or dispute mechanism.
18. Contact
Questions about these Terms may be sent to info@rqmbooks.com. Formal notices may be addressed to Digital Innovative Agency FZ-LLC at FOB51716, Compass Building, Al Shohada Road, Al Hamra Industrial Zone-FZ, Ras Al Khaimah, United Arab Emirates, and should identify the customer organization, account email, and subject of the notice.
19. Optional Google Drive connection
Google Drive is an optional, customer-authorized document integration. Accepting these Terms does not by itself grant Google account access. Access requires Google's separate authorization and is limited to the permissions granted and the document actions available in RQM Books.
The customer retains ownership of its documents and is responsible for having authority to connect the Google account, selecting appropriate company users, configuring Drive permissions and maintaining required business records. Google's own terms, account restrictions, storage limits and availability apply to its service.
Google data handling is governed by the Google-specific sections of our Privacy Policy and the Google API Services User Data Policy, including Limited Use. No general licence, feedback, AI, data-exchange or other provision in these Terms expands our permitted use of Google user data.
The company owner may disconnect the integration in Settings > Document Management, and the Google account holder may revoke access at https://myaccount.google.com/connections. Disconnection does not delete Drive files or automatically erase accounting-record links, metadata and audit records. Deletion requests can be made to info@rqmbooks.com as explained in the Privacy Policy.
Integration failures or revocation can prevent viewing or managing linked documents until access is restored. Customers should not assume that RQM Books has made a separate backup of files held in Google Drive. The existing ownership, security, support, cancellation and mandatory-rights provisions remain in force.
